Every agency runs on a different combination of tools. Some are overbuilt, some are surprisingly minimal. Here's what actually gets used day-to-day when you're managing short-form content for multiple clients.

Production

CapCut handles the majority of editing. Fast, mobile-friendly, good enough for most deliverables. For more complex cuts or branded content, DaVinci Resolve. The goal isn't the fanciest output — it's the fastest path to something that performs.

Client Management

Notion for everything organizational. Project tracking, content calendars, client briefs, onboarding docs. It's not the most elegant tool but it's the most flexible. One workspace per client, templated from the start.

Communication

Slack for async with the team, Loom for client feedback rounds. Sending a two-minute Loom instead of a 400-word email cuts back-and-forth in half. Clients who see the work explained tend to approve faster.

Analytics

Native platform analytics first — TikTok and Meta both give you enough to work with at the start. Once you're managing volume, a tool like Metricool or Sprout Social starts to make sense for reporting. But early on, raw platform data is fine.
